Should I use Webmail or email software?

Email software

When using an email client (eg Outlook) your software logs on to our server and downloads all the mail waiting to be received. At the end of the download your email client sends a confirmation to our server that it has successfully downloaded all the email. The messages are then removed from the server.

This means you can store your messages on your hard drive without worrying about reaching your email limit and running the risk of email bouncing.The only downside of this is that you can only access the mail you have downloaded from your computer. You can not access the previously downloaded email from anywhere else. If you use a different computer you will only see the email that has been received since your last download.

(Note that it is possible to configure email clients to leave a copy of mails on the server after downloading them but that this will eventually lead to you reaching your 1GB space quota on our servers and unable to receive any new emails without a call to our helpdesk).

You can send emails with attachments of up to 50MB size using a client.


When using webmail you are accessing your email directly on our servers and a copy of the mail is only temporarily downloaded to your hard drive.

The main advantage here is that if you access your email from many different computers you will be able to see all your email that you currently have even messages you have already read previously.

Furthermore if you travel a lot and need easy access to send email on the move then you can use Webmail to do this without having to change the settings in your email client every time you are in a new place.

The main disadvantage is that you have a limit of 1GB of email on the server and if you exceed your limit then email sent to you will not be delivered to your POPbox as there will be no space left within your allocation.

Also you can only send attachments of up to 2MB in size using Webmail.


If you have a POPbox account you can access your email online with a web browser such as Internet Explorer or Firefox. This can be an advantage when you are away from home/ the office and do not want to change the settings in your email client to be able to send email.

Troubleshooting Webmail

The most common problem that people encounter is their POPbox reaching the 80MB space quota on the server. If you are unable to login to Webmail with an error message of ‘Error: Connection dropped by IMAP server’ then it is very likely that this is the issue. If this happens to you please call our support desk on 0845 11 99 999 and we will be able to assist.

To avoid this eventuality it is best to regularly housekeep your account and delete any messages that you do not need to keep (see this section on deleting messages from the server).


Another common problem with Webmail is not seeing all your folders. If you have created folders in your account and cannot see them in Webmail then you will need to ‘subscribe’ to these folders. To do this click the ‘Folders’ menu option at the top of the page. On this screen at the bottom you will see the option to subscribe to the your folders. Once this is done don’t forget to click the ‘Refresh Folder List’ link near the top of this page and you will then see your folder(s) appear in the left-hand pane of Webmail.

How to delete emails from our server

If you have an email with a large attachment that you are having problems downloading, you can view it through webmail. You can also save the attachment to your hard drive and then remove it from the
server so that you can download the rest of your email.

New Webmail System

The new Pulsant webmail system utilizes Roundcube http://www.roundcube.net. It has a much simpler interface than the older SquirrelMail and runs a lot faster than the older system.

To login to webmail browse to http://webmail.pulsant.co.uk. You will then be presented with a login screen thus:


Enter your username and password to login.

If you have previously used the old webmail system you will find that all your folders and contacts will already be there in the new webmail system.

Your default identity will be of format [email protected] – this will be the email address presented when you send an email from webmail. It is likely that you will need to add further identities so that you can have sent emails presented as [email protected]. To accomplish this from the main screen click on ‘Settings’ from the main page:

How to configure Webmail

To login to webmail simply point your web browser to http://webmail.pulsant.com and login with your username and password


Our Webmail facility is configurable in a large number of ways – most of what you can do is fairly intuitive – please see below for the more commonly used options.

Configuring Personal Information

You can tailor your webmail to use your own preferred settings instead of the default settings.

Once logged into Webmail click on “Settings” in the menu at the top of the page and then click on “Identities” tab. Then on the bottom left click Add_Folder to add a new identity”.


Here you will find the following settings: (see image below)

  • Display Name:
    This is the name that people receiving mail from you will see against your message in their inbox.
  • Email address: [email protected] -By default this will be your [email protected], if you have
    your own domain you can enter your email address to show the correct
    from address for email that you send.
  • Organization: This field is optional.
  • Reply-to: [email protected] – You can specify a different reply to address if it should not be the
    same as your from. If you leave this blank emails will come back to
    your address as you set above.
  • Bcc: The only recipient address that will be visible to all recipients is the one in the To: field. So, to keep maximum anonymity you can put your own address in the To: field and use Bcc: exclusively to address your message. This field is optional.
  • Signature: Your signature – Here you can enter a signature that will be added to the bottom of all
    email that you send.

Set as deafult: This allows you to set your new identity as your default account, simply tick the box.

Lastly – don’t forget to click the ‘Save’ button to save your changes!

Now when you compose an email, your new identity will be in the drop down box next to “sender”.



Configuring Folders

A Pulsant POPbox account is already set up with the following folders by default:

  • Inbox
  • Drafts
  • Sent
  • Trash
  • Junk mail (Spam)

You are able to directly access these folders through the Webmail facility without any prior configuration. Once logged into Webmail see the links for these folders in the left-hand pane.


You can also create / rename / delete your own custom folders by clicking “Settings” and then on the “Folders” menu option at the top of the screen. Located at the bottom of the screen is the option to “Create new folder”.   Add_Folder
